Instead of overwhelming yourself with the entire to-do list, choose just three key tasks each day.
1. Ideas, Insights and Inspirations
Recently, during a conversation with my mentor and mate, Col Fink, a new perspective on productivity crystallised for me. This discussion revolved around the common pitfalls of traditional to-do lists - those endless lists of tasks we jot down on various devices and notebooks, aiming to tick off item after item. However, as many of us experience, these lists often lead to a cycle of frustration rather than a feeling of accomplishment.
The emotional impact of unchecked lists
The main issue with extensive to-do lists isn't just the overwhelming number of tasks—they can also negatively impact our emotional well-being. After marking off just one item or none at all, we return the next day only to see minimal progress. This scenario was echoed by one of the executives I coach. He shared his own struggle with a daunting list of 15 to 18 critical tasks. Each morning, he faced this list, and by the end of the day, he felt he hadn't made significant progress, leading to feelings of failure and stagnation.
A humanised approach to productivity
During our discussions, Col posed a critical question about the effectiveness of my productivity process. This led us to distinguish between "negative" and "positive" productivity processes. A negative productivity process is one that leaves you feeling unproductive and demoralised, while a positive one boosts your sense of achievement and progress.
Implementing a simple, effective strategy
To transform this cycle of discouragement into a positive productivity experience, I believe we should do the following:
- Limit your daily focus: Instead of overwhelming yourself with the entire list, choose just three key tasks each day. Write these on a small sticky note that can be placed somewhere visible - like on your desk or laptop. And then complete them.
- Maintain the master list: Keep your longer list of tasks, but don't let it govern your day. This list remains as a reference point, not a daily burden.
- Daily renewal: Each day, select the next three most important tasks. This not only provides a manageable goal but also ensures that you are continually making progress on your broader list.
2. Reflections
It is crucial to acknowledge that no single individual possesses all-encompassing knowledge, and that includes ourselves. Even leaders or experts in a particular field have their limitations.
When we assume we know everything, we close ourselves off to new perspectives, alternative solutions, and invaluable insights. This mindset impedes our growth and prevents us from reaching our full potential.

The 3-Item Daily Sticky Note is a straightforward and effective productivity tool designed to combat the overwhelm of traditional to-do lists by focusing on three key “to-do” tasks each day.
Start by creating a master list of all tasks, which serves as a comprehensive reference. Each morning, select the three (most impactful) tasks from this master list, write them on a sticky note, and place it in a prominent spot on your desk or computer. Throughout the day, concentrate on completing these tasks, and at day's end, enjoy the satisfaction of physically discarding the sticky note, marking a clear, tangible sense of accomplishment.
